Who we are

Space Time Move Ltd (company number 15533083), trading as SpaceTime Move, is the data controller for the personal data described in this notice. What we collect

• Enquiry details — your name, email address, phone number, the service you are interested in, a preferred date and anything you write in the message box.
• Account details — if you create a portal account: your name, email address and a securely hashed password. We never store your password itself.
• Job details — collection and delivery addresses, property size, storage size and dates, access notes, and any notes you give us about your move.
• Booking and billing records — quotes, prices, confirmed dates, invoices and payment status.
• Technical data — your IP address and basic request information, used to keep sessions secure and to rate-limit abuse of our forms.

We do not use advertising or analytics cookies, and we do not track you across other websites. The only cookies we set are those needed to keep you signed in to the portal.

Why we use it, and our lawful basis

• To quote for and carry out your move or storage — performance of a contract with you, or taking steps at your request before entering into one.
• To manage your account and send service messages (quote ready, booking confirmed, invoice issued, password resets) — performance of a contract.
• To keep accounting and tax records — legal obligation.
• To secure our systems, including rate-limiting and preventing fraudulent or abusive use — our legitimate interests in protecting the service and our customers.

We do not sell your personal data, and we do not use it for automated decision-making or profiling.

Who we share it with

• Resend — our email provider, which delivers service emails such as quotes, booking confirmations and invoices.
• Cloudflare — provides the secure connection between your browser and our systems, and protects against attacks.
• Storage King — our storage facility partner, where stored property is held. Only the information needed to store and retrieve your property is shared.
• Professional advisers and authorities — for example our accountant, or where we are required to disclose information by law.

Where a provider processes data outside the UK, we rely on appropriate safeguards such as the UK International Data Transfer Addendum.

Where your data is kept

Our customer database is hosted on our own equipment in the United Kingdom rather than on a third-party cloud platform. Backups are taken daily and are encrypted.

How long we keep it

• Enquiries that do not become bookings — up to 12 months, then deleted.
• Customer accounts and job records — for the life of your account and for 6 years afterwards, to cover the period in which a claim could be brought.
• Invoices and accounting records — 6 years after the end of the accounting period, as required by HMRC.

Your rights

Under UK GDPR you have the right to:

• ask for a copy of the personal data we hold about you;
• have inaccurate data corrected;
• ask us to delete data, where we no longer need it and no legal obligation requires us to keep it;
• ask us to restrict how we use your data, or object to its use;
• receive data you gave us in a portable, machine-readable format;
• withdraw consent, where we relied on consent.

To exercise any of these, email [email protected]. We will respond within one month. There is no charge in normal circumstances.

Complaints

If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this notice

We may update this notice from time to time. The date at the top shows when it was last revised. Where changes are significant we will let account holders know by email.
